An Effective Meeting

Imagine a meeting with 150 participants.  It’s a critical meeting where a new strategy is being announced.  Participants are seated at round tables of six.  At each table there is a wireless laptop computer for every three participants.  Each laptop is running CoVision’s WebCouncil software which allows participants to respond to questions, vote, rank, prioritize, and record the output of their small group when directed. 

The meeting kicks off with a presentation outlining the key points of the new strategy.  After this presentation, the participants are given a chance to talk in their groups of three and record their comments, questions, and concerns into the laptop.  Simultaneously a “Theme Team” reads through the comments as they are entered and pulls out key messages that the presenter can address immediately with the whole group.

This ability to understand what’s on the minds of ALL participants allows you to respond to the most important issues while everyone is still in the room.  This feedback engine is adaptable to fit a wide variety of purposes and agendas but, at its heart, it provides a direct path to mutual understanding.

Maximizing the Face-to-Face Time

Face-to-face time is expensive, valuable and difficult to arrange across an organization. In order to capitalize on this brief time, the WebCouncil online platform was developed to surface issues and begin discussions before getting into the room. A pre-meeting WebCouncil site can be a valuable opportunity for engaging a broad array of stakeholders, including those who may not be included in the actual meeting.

One of the most difficult challenges facing meeting designers is how to follow-through on the momentum and the initiatives that come out of a highly charged meeting. LOGISTICS COMMUNICATIONS
CoVision will interface directly with your A/V vendor(s), meeting site management, unions, electrical contractor, meeting planners, etc. to ensure that all logistical needs are met.
